    FF&E Specification: What It Is and Why It Takes So Long

    An FF&E specification turns a concept into a priced, multi-brand list of real products — and it still takes hours by hand. Here's why.

    • Technical lighting — recessed, track, architectural fixtures
    • Textiles — rugs, wallcoverings, scatter cushions, curtains

    • Cabinetry — kitchens, wardrobes, storage systems

    Two numbers from the same operation give a sense of scale. A walk-in client's proposal typically spans 8–10 brands; a proposal built for a designer or architect more often spans 20–30 brands. Line-item count runs anywhere from 15 to 100 items in a single document.

    Why does an FF&E specification take so long to produce?

    The slow part is not taste or design judgement. It is data gathering and reconciliation. Four structural reasons surface again and again in the field.

    1. The products live in dozens of separate catalogues

    Every brand maintains its own portal, its own price book and its own rules for who can see what. A specifier working across 20–30 brands is moving between 20–30 different interfaces, each with its own logic for naming a finish or coding a model. There is no shared catalogue and no neutral source of truth — only the specifier, a browser, and a long row of open tabs.

    2. Price lists are inconsistent and easy to misread

    In the same London operation, the single biggest source of error and delay was the price list itself. Some brands publish clean, well-structured price lists. Others are highly detailed, with non-obvious rules and footnotes in small print — and it is genuinely easy to miss a line or apply a rule incorrectly. Add regional pricing (the right FX rate and VAT treatment must be applied) and the mix of RRP and net pricing across suppliers, and a "simple" price lookup becomes a careful manual calculation.

    3. The document is still built by hand in a spreadsheet

    The proposal is usually compiled in Excel — line items, units, formulas and totals all entered and maintained manually. That introduces a predictable set of errors: broken or fragile formulas, mismatched units of measure, and figures transcribed wrong between sources. In larger operations the work is split: managers brief the client and set the requirements, while a smaller team of compilers assembles the Excel. That keeps managers selling — but it also means the document depends on a narrow, easily overloaded resource that has to be present (a single compiler's holiday or sick day slows the whole queue).

    4. Prices go stale between updates

    Brand price lists are typically issued annually, sometimes semi-annually, with mid-cycle changes communicated by email. Files sit on a shared drive. By the time a compiled spec reaches the client, at least one line is likely to carry a price that no longer exists — which surfaces later as post-signing renegotiation, or as margin the showroom quietly absorbs.

    How long does it actually take?

    From the same operation: proposals up to ~10 line items can usually go out the same day; anything larger spills into the following days. The ceiling is human — it is set by compiler availability, the queue of priority projects, and rework caused by complicated price lists. The bottleneck is not creativity. It is the manual assembly of accurate, current, cross-brand data.

    What tools do FF&E teams use today?

    A realistic stack, observed in the field, looks like this:

    • Google Drive — storing brand price lists and catalogues
    • Microsoft Excel — building the proposal and running all the maths
    • Brand websites (public area) — photos, dimensions, finishes
    • Brand configurators (private area) — where they exist; finish quality is often mediocre
    • ArchiCAD / SketchUp — plans and layouts
    • ChatGPT — re-rendering finishes for items missing from a configurator or where quality falls short
    • Canva / Photoshop — moodboards
    • Cabinetry configurators — e.g. Metron (Poliform), Pi Greco (Molteni)
